There is a real difference between hiring a cleaner and running a janitorial program, and it is the reason most facility managers eventually switch. A one-off clean is a transaction: someone comes, the place looks better, and standards drift until you call again. A janitorial program is a written scope, a fixed frequency, a defined standard, and a record showing it was met.

That distinction matters most when more than one person is involved — when the person who notices the problem, the person who calls the vendor, and the person who approves the invoice are three different people.

Choosing a frequency you can defend

Frequency drives price more than square footage does. It is worth choosing deliberately rather than defaulting to five nights because that is what the last vendor quoted.

1–2 visits a weekLow-density facilities, small professional suites and buildings where restrooms rather than floors set the requirement. The most commonly over-bought tier.
3–4 visits a weekThe middle of the market and the right answer for many facilities. Standards hold through the week without paying for coverage nobody perceives.
5–7 visits a weekClient-facing space, high headcount, healthcare and residential common areas — anywhere a single missed day is visible to someone who matters.

All programs are month-to-month with 30 days' notice. Frequency can move in either direction as your facility changes, and adding or removing a site does not restart a contract term.

Questions buyers ask about janitorial contracts

What is the difference between janitorial service and commercial cleaning?
In practice the terms overlap, but janitorial usually means the recurring day-to-day program — trash, restrooms, floors, breakrooms, touchpoints — on a fixed schedule and a written scope. Commercial cleaning is often used more broadly and can include one-time and specialty work. What we provide is the recurring program, with specialty work quoted separately when you need it.
Do we have to sign a long-term contract?
No. Service is month-to-month with 30 days' notice. There is no multi-year term and no automatic renewal. Long lock-ins are common in this industry and they are usually where service quality goes to sleep, because the vendor no longer has to earn the account.
How is the monthly price calculated?
From a walkthrough. We measure the cleanable space, count the fixtures, and build the price on the actual labor hours the scope requires at your chosen frequency. That produces a flat monthly rate. We do not quote over the phone, because a phone price is a guess and it is usually wrong in whichever direction is worse for you.
Are cleaning supplies and consumables included?
Cleaning chemicals, equipment and microfibre are ours and are included. Consumables — paper, liners and soap — are excluded by default, because many facilities prefer to keep buying their own. If you would rather hand it over, we will supply and manage restocking, priced into your scope.
Can you cover multiple locations under one agreement?
Yes. Multi-site portfolios run on one scope framework, one point of contact and one invoice, with per-site scopes where the facilities differ. It is one of the more common reasons organizations consolidate onto a single provider.
What happens if the standard slips?
You tell us, or the report tells us first. Issues are acknowledged the same day and corrected on the next service — usually sooner. Because every visit is scored against your scope and photographed, a decline shows up as a pattern rather than as a feeling, which makes it fixable.
